Case Study:  Tool migration to peoplesoft
The customer
Our client is a global web services company with a suite of brands and offerings and a substantial worldwide audience. The company's business spans online content, products and services that the company offers to consumers, publishers and advertisers. It engages consumers with online advertising services on both its owned and operated properties and third-party websites. The company offers an array of consumer applications, including a suite of communications products and services, which consist of email and instant messaging.

Customer challenges
The customer uses a custom built tool for mass layoff. The process of layoff involves a number of HR generalists to notify employees. For smaller populations which do not involve more than 1 HR generalist, the employees are notified and the information is entered directly to PeopleSoft.
1.      The HR generalists partners will share a list of impacted people with the payroll team
2.  The HR payroll/compliance team loads the list of employee IDs and whether they are Separations or Transitions and a separation date into the tool
3.    HR generalists then have access to the tool while they are doing the notifications.  They search by employee ID (the employee Name displays so they can verify it is correct) and check the box that they employee has been notified and whether it was in person or by phone.
4.    Asset Management group and IT Security teams keep checking to the tool periodically to confirm notifications
5.       ITSEC processes for access removal and removes it COB that same day
6.     If access is to be removed immediately due to security reasons the HR person would reach out manually to get that completed.  This is something we could look at as an enhancement later to automate.
The tool was using Sybase as a database which the customer is phasing off. The requirement was to migrate this tool to another database.

Our solution
We came up with a solution to leverage the separations notification tool within Peoplesoft HR system which was built earlier to deliver the same product with tighter integration with the HR data. The solution involved simplifying the user experience, automatic email notifications, dynamic and quick report generation and consolidating the HR data into one place.
